    Thank you for registering for the 2017 Advancing Ethical Research Conference (AER17). Below you can find information to help you prepare you for your visit to San Antonio in November. We will continue to add new information to this site as it becomes available, so bookmark this page and check back often.

    You will receive two Conference Attendee Newsletters, one on October 19 and one on November 2, which will alert you when final information becomes available on this page and provide you with the password for accessing attendee-only content (e.g., conference session materials, poster abstracts, etc.)

    On-Site Check-In

    When you arrive onsite, please plan to pick up your name badge, conference guide, and tote bag in the On-site Check-In Area located in the Hall 4 West Lobby on the Street Level of the convention center.  The Check-In Area will be open:

    Personalized Conference Schedule

    A personalized conference schedule with your session selections will NOT be provided onsite. If you would like a copy of your personalized conference schedule, print a copy in advance of the meeting to bring with you.

    You can print a copy of your agenda by logging in to our website, selecting My Transactions on the left, and clicking View in the View My Agenda column of the 2017 AER and SBER Conferences row.

    If you have not logged into the PRIM&R website in the last year, or cannot recall your password, use the password retrieval option to have your login credentials sent to your email.

    Note: the personalized schedule will reflect only the session selections you made when you registered.

    Conference and Pre-Conference Program Materials

    Pre-conference program materials: Pre-conference program materials will NOT be printed onsite, so we encourage attendees to print materials in advance (some speakers do not make materials available prior to the workshop). If you registered for a pre-conference program, you will receive a separate email from registration@primr.org in the weeks leading up to the conference that includes the website link and password for your specific program's materials. Please note this password is different from the password you'll receive for the conference materials.

    Conference session materials and poster abstracts: Session materials will NOT be printed onsite, so we encourage attendees to print handout materials in advance, or view them via the conference website/app with your electronic device. You should have received a Conference Attendee Newsletter on November 2 with the access code for these materials.

    Please follow these instructions to access session materials, poster abstracts, and session recordings when they become available:

    1. Visit the following URL:
      AER17: bit.ly/aer17agenda
    2. Click on the "Access Conference Materials" link on the upper right corner of the screen
    3. Enter the access code you received in your Conference Attendee Newsletter
    4. Locate a specific session by scrolling through the agendas, using the search field for each agenda, or clicking on the "Conference Agenda" link in the left hand navigation and sorting sessions by date, target audience, track, keyword, etc.
    5. If materials are available, there will be a "materials" icon next to the session title. If a session has been recorded for the conference proceedings, there will be a "recording" icon next to the session title.
    6. To access the AER17 posters, click on "Poster Abstracts" in the left hand navigation

    *Note: not all sessions have materials; this is dependent on the speakers. More content may be available after the conference; attendees are encouraged to revisit the agenda or conference app  after the meeting.

    Special Meals

    If you have a specific dietary need* (e.g., food allergies, kosher, vegetarian, etc,) and you forgot to include a dietary request when you registered, contact us immediately at registration@primr.org.

    Those who noted a dietary restriction during registration will receive special meal tickets with their badge onsite. Attendees are instructed to give these tickets to a server during their meal to obtain their special meal.

    AER17 App

    Enhance your AER17 experience with the conference app*. PRIM&R would like to thank CITI Program, a division of BRANY, for supporting the AER17 App.

    The AER17 App allows attendees to:

    • Access the AER17 agenda, session materials, supporter and exhibitor information, speaker profiles, poster abstracts, and more.
    • Use the “My Favorites” function to highlight the sessions you’ve registered for or don’t want to miss. (Note: your registration selections will not automatically appear in the app—you have to add them. Likewise, adding a session to “My Favorites” does not register you for that session; if you wish to change a session onsite that required preregistration, visit the Help Desk.)
    • Take notes directly on session slides loaded to the app.
    • Connect with other attendees who are using the app.
    • Get conference updates and announcements.

    Networking, Special Events, and Volunteer Opportunities

    One of the many valuable aspects of attending our conferences is the chance to meet and connect with others in the field:

    • Connect online by following us on twitter and on PRIM&R's blog, Ampersand. Include our handle @primrconnect, and hashtag #AER17 whenever you're tweeting about the conference, and look for posts from our SBER17 and AER17 Blog Squad.
    • Explore the special events taking place onsite (note: some events require pre-registration).
    • Look for Networking Ribbons, which can be affixed to your name badge to denote an array of professional roles/affiliations. The ribbons are designed to enhance community building and help you connect with colleagues who share similar professional experiences, and the will be available in the On-Site Check-In Area

    Conference Bookstore

    Barnes & Noble Booksellers will be onsite to sell the latest books and reference materials on human subjects protections, research ethics, and IRB management. The Barnes & Noble kiosk will be located in the AER17 Exhibit Hall and will be open during the following hours:

    The Barnes & Noble kiosk will accept Barnes & Noble gift cards and Barnes & Noble member cards (attendees must have their Barnes & Noble member card with them to use, as kiosk staff will be unable to look up member numbers).

    Poster Abstracts

    Throughout AER17, posters will be on display in the Exhibit Hall. You can also view full text abstracts and PDF images of the posters through the AER17 agenda and conference app (see instructions above for accessing materials on the conference agenda and app).

    Conference Charities

    PRIM&R is pleased to support two charities this year: Equality Texas and the Greater Houston Community Foundation's Hurricane Harvey Relief Fund.

    Equality Texas works to secure full equality for lesbian, gay, bisexual, and transgender Texans through education, community organizing, and collaboration. They envision a Texas where lesbian, gay, bisexual, and transgender Texans and their families have full equality in the hearts and minds of fellow Texans and in all areas of the law.     The Hurricane Harvey Relief Fund was established by Houston Mayor Sylvester Turner and County Judge Ed Emmett, in response to an overwhelming number of inquiries from citizens and companies wanting to help in the wake of Hurricane Harvey, to collect flood relief donations for victims affected by the hurricane and resulting flooding. The fund is administered by The Greater Houston Community Foundation, a 501(c)(3) public charity dedicated to helping donors create lasting legacies and meaningful impact in the region.     PRIM&R made a donation on behalf of the conference speakers to Equality Texas, and made a donation to the Hurricane Harvey Relief Fund. Attendees interested in donating to either charity may do so online or at the donation boxes that will be available in the On-Site Check-In Area.

    San Antonio Spurs vs. Los Angeles Clippers Basketball Game

    Join your fellow attendees on November 7 at 7:30 PM to cheer on the San Antonio Spurs! Two rows of seats have been set aside at the AT&T Center. Ticket pricing is $25-$30, and $5 of each ticket sold will go to benefit the Hurricane Harvey Relief Fund. Tickets can be purchased on November 7 from 2:45 to 5:00 PM at the pop-up box office that will be located in the On-Site Check-In Area, or directly through the AT&T Center's online group ticket sales here (online sales close on October 31 at 11:59 PM CST). Attendees are responsible for their own transportation to/from the AT&T Center.

    In Case of Emergency

    If the event of an emergency (medical or otherwise), contact the convention center's Security Control Center at 210.207.7773 or dial 8975 from any house phone. The Security Control Center is staffed 24 hours a day. If you call 911, or if you are aware that someone else has called 911, contact the Security Control Center (number above) to inform them of the incident. This will ensure that help arrives to the correct location. A First Aid Station will be open in the Hall 4 West Lobby to treat walk-in first aid needs.

    Temperature and Conference Attire

    In advance of traveling, we recommend looking at local weather reports for onsite conditions during the conference. We also recommend wearing layers or bringing a sweater as conference venue temperatures fluctuate.

    Wear Your Name Badge

    For security purposes, attendees are required to wear name badges at all times.

    Recorded Sessions and the Virtual Meeting

    Each year, PRIM&R livestreams parts of the AER Conference, but, this year, we've opted to provide an expanded Virtual Meeting to assist those who cannot attend in person, but who need insight into various topics related to human subjects protections. Sessions being livestreamed are marked with a "recording" icon on the conference agenda. For the breakout sessions specifically, if you have a desire to not be videotaped, we suggest attending a different session in that we cannot guarantee attendees won't be captured on video during these sessions.

    Daylight Savings Time

    A reminder, daylight savings is Sunday, November 5. At 2:00AM clocks are turned backward one hour.
